1. Quick Start

Creating a trip is easy. You just need:

  • Trip Name: e.g., "Japan Trip 2026".
  • Email: Crucial! The system sends your "Access Link" here. It is the only way to recover lost links.
  • Currencies: Set the "Base Currency" (for final settlement, e.g., USD) and "Default FX" (local spending, e.g., JPY).
  • Travelers: Enter names of all participants.
πŸ’‘ Note: No passwords required. Access is managed via a secure "Token Link". Share this link with your trip members to collaborate.

2. Adding Expenses & Splitting

Enter expense details in the main form. Two split modes are supported:

  • πŸ’° Amount Split: By default, costs are split equally. You can manually adjust an amount for a person, and the rest will auto-adjust.
  • πŸ“Š Percentage (%) Split: You can input percentages (e.g., 50%), and the system will calculate the amount.
πŸ’‘ Click the "Reset / Avg" button to revert to equal splitting at any time.

3. FX Rate Helper

Handling foreign currencies is made simple:

  1. Enter the currency code (e.g., JPY, EUR) in the "Ccy" field.
  2. Click the [Check Rate] label next to it.
  3. A reference rate will appear (e.g., JPYUSD = 0.0068).
  4. ✨ Click the displayed rate value to auto-fill the "Rate" input field.
⚠️ Note: Rates are from public APIs for reference. Actual costs may vary due to bank fees. Using the actual deducted amount to calculate the rate is recommended.

4. Settlement

To pay back debts during or after the trip:

  1. Check the "Settlement Plan" card. It calculates the most efficient payment paths.
  2. Click the [Settle] button next to a debt.
  3. In the popup, confirm details. Click [Full] to quick-fill the total debt amount.
  4. Once saved, a "πŸ’Έ Settlement" record is added, offsetting the debt.

5. Documents

Upload PDFs or Images (tickets, receipts) for safe keeping:

  • Max 5MB per file.
  • Images are auto-compressed.
  • If filename is empty, the system uses the "Remark" as the filename.

6. FAQ

Q: I lost my link!
A: Use the "Recover Trip Links" feature on the home page. Enter your email, and the system will resend it.
Q: How long is data kept?
A: Data is kept for 30 days after the last update. After that, it enters a 7-day grace period before being archived and inaccessible.
Q: Is my data private?
A: Anyone with the link can access the trip. Do not share it with strangers and do not store sensitive info (passwords/credit cards).
